Administrative Assistant (AKA Multitasking Meerkat)

As our Administrative Assistant you will play a pivotal role in supporting the Canopy Team by ensuring smooth day-to-day operations and organizational efficiency. Reporting to the Operations Manager, this role requires the ability to manage high-volume, often confidential tasks in a fast-paced environment. The ideal candidate will be adaptable, detail-oriented, and capable of maintaining professional standards while responding to shifting priorities.

    CAD 70-95K gross per annum, contingent on experience, plus benefits.

Organizational Administration & Coordination: 

  • Work with the Operations team to support office logistics and maintenance, including equipment support, and coordinating with service suppliers 
  • Assist with IT-related support requests (e.g., Salesforce, Dropbox, Zoom, Asana). 
  • Develop and maintain electronic and paper filing systems.

Meeting & Event Coordination:

  • Support online and in-person organizational events. 
  • Schedule and organize internal and external meetings. 
  • Supporting the team’s work in agenda items and draft agendas for staff calls. 
  • Support travel and logistical needs for key Canopy meetings, including Staff Planning Sessions, and other Canopy-sponsored events. 

Essential Requirements:

  • Minimum of 2-3 years of experience as an administrative assistant or in a similar role. 
  • Strong organizational skills with the ability to multitask and prioritize effectively. 
  • Experience in project management is an asset. 
  • Ability to work both independently and collaboratively within a fast-paced, dynamic team environment. 
  • Demonstrated ability to exercise sound judgment and problem-solving skills. 
  • Proficiency in Microsoft Office, Project Management, and CRM (e.g. Salesforce)  
  • Proficiency in Asana, Salesforce would be an advantage

  • Deadline-driven and goal-oriented, performs duties with speed and accuracy without constant supervision. 
  • Good sense of humour 
  • Capability to work independently and collaboratively within a team. 
  • Excellent interpersonal, oral, and written communication skills; ability to effectively communicate and interact with all individuals with integrity, empathy, and sincerity. 
  • Ability to build harmonious working relationships with Canopals and external partners 
  • Maintains a calm and professional demeanour. 
  • Proven self-starter and problem solver with strong decision-making skills and a desire for continuous learning. 
  • Ability to act with tact, good judgment, and discretion and maintain confidentiality. 
  • Ability to multi-task efficiently with attention to detail.
