As our Operations Coordinator, you will play a pivotal role in supporting the Canopy Team by ensuring smooth day-to-day operations and organizational efficiency. Reporting to the Operations Manager, this role requires the ability to manage high-volume, often confidential tasks in a fast-paced environment. Core Responsibilities
Office Operations & Facilities
- Take primary responsibility for the day-to-day functioning of the Vancouver office, ensuring it is tidy, stocked, safe, and welcoming.
- Manage office supplies, printing, and physical assets, including inventory tracking, and maintaining an organized physical asset library.
- Coordinate mail, shipping, and receiving, including tracking deliveries and outgoing shipments.
- Coordinate waste, recycling, and basic facilities needs, and flag larger issues to the Operations Manager.
- Carry out health and safety procedures, including emergency preparedness tasks and basic office compliance requirements.

Systems & User Enablement
- Own user enablement at Canopy, guiding, training, and answering how-to questions so staff can use our tools confidently, including for remote staff across time zones.
- Develop and maintain clear, practical “how-to” documentation so staff can self-serve on common tasks and workflows.
- Support systems onboarding for new staff, orienting users to core tools following established processes.
- Support Salesforce usage across the team, including user guidance, data updates, imports/exports, and building reports
- Participate in user acceptance testing (UAT) by completing defined testing steps and reporting issues to system owners.
- Collaborate with the IT Coordinator to ensure seamless coverage: this role owns user enablement and usage support; the IT Coordinator owns infrastructure and fixing what’s broken.

Projects & Process Implementation
- Own and maintain Canopy’s online materials library and booking system for samples, event materials, and gift inventory, including user training and ongoing user administration.
- Support data cleanup and conversion efforts, including Dropbox cleanup, Salesforce data conversion into import sheets, and Knowledge Base implementation.
- Assist with the finalization and implementation of Canopy’s sustainability audit.
- Support procurement requests using established tools and processes, ensuring team needs are met efficiently.
Events, Meetings & Travel Coverage
- Support logistics for internal and external meetings and events, including materials preparation, room setup, catering, vendor coordination, and on-the-day assistance.
- Support webinar setup, invitations, delivery, and real-time technical troubleshooting independently
- Backfill business travel coordination during busy periods, including booking flights and accommodations and assisting with travel visa requests.
Qualifications
Essential Requirements:
- 2+ years of experience in an administrative, office coordination, operations, or IT support role.
- Demonstrably system-savvy: able to navigate, learn, and troubleshoot new platforms independently, with strong working knowledge of work productivity tools and a willingness to learn Google Suite, Microsoft Office, Asana, Dropbox, Okta and Salesforce.
- Naturally service-oriented and easy to approach, with the ability to earn and maintain trust across the Canopy team.
- Sound judgment in ambiguous situations: able to evaluate options with incomplete information and determine a path forward.
- Highly effective working remotely and asynchronously: proactive communicator, reliable without in-person oversight, and skilled at keeping distributed teams informed.
- Able to manage competing priorities and a high volume of concurrent requests in a busy environment.
- Excellent written and verbal communication and comprehension skills.
- Ability to be genuinely helpful while setting appropriate boundaries.
- Ability to maintain discretion and handle sensitive information appropriately.
- Confident running events, webinars, and conference support independently
- Strong attention to detail and problem-solving skills: able to take information, identify roadblocks, and develop solutions.

Related or Transferable Experience
- Experience supporting systems onboarding, user access, or basic application support under established processes.
- Experience maintaining inventories, coordinating logistics, or supporting facilities and office operations.
- Experience assisting with data quality through routine updates, basic cleanup, or maintaining existing documentation.
- Experience supporting meetings, events, or travel coordination.
- Familiarity with CRM, project management, or collaboration tools in a support capacity.
